Beating Burnout: How HubSpot Service Teams Stay Happy and Healthy

Workplace burnout is an epidemic, and those in customer-facing roles are especially vulnerable. A staggering 67% of customer service professionals report feeling burnt out, and the fallout isn‘t pretty: decreased productivity, poor physical and mental health, and sky-high turnover.

At HubSpot, we refuse to accept burnout as just part of the job. Our customer service teams are the heart and soul of our organization, and their wellbeing is non-negotiable. That‘s why we‘ve made it our mission to create a culture where burnout prevention isn‘t just a nice-to-have – it‘s a must-have.

So how do our service reps beat burnout and bring their best selves to work each day? We asked them to share their top strategies for staying happy, healthy, and engaged on the job.

Know the Signs

The first step to preventing burnout is learning to spot the red flags before you reach your breaking point. Some common warning signs:

  • Dreading your shift or feeling anxious about interacting with customers
  • Physical and emotional exhaustion that persists even on your days off
  • Trouble focusing or remembering key information
  • Feeling cynical, irritable, or resentful towards your job
  • Neglecting your physical health or relying on unhealthy coping mechanisms

"I know I‘m edging towards burnout when the thought of opening my inbox makes me want to crawl back into bed," says HubSpot Customer Success Manager Alex Johnson. "That‘s when I know it‘s time to take a step back and reprioritize my wellbeing."

Set Boundaries Like a Boss

Achieving a healthy work-life balance is crucial for avoiding burnout, but it doesn‘t happen by accident. Our service reps swear by these boundary-setting strategies:

  • Stick to a schedule. Establish clear start and end times for your workday, and do your best to unplug outside of those hours. Avoid checking your work email or taking calls on your time off.

  • Communicate your needs. If your workload feels consistently unmanageable, it‘s time for an honest discussion with your supervisor. Come prepared with specific examples and ideas for how to make your role more sustainable.

  • Just say no. Practice politely declining requests that would overextend you or compromise your wellbeing. Remember: your needs matter, and setting boundaries is a sign of professionalism, not weakness.

"I‘m pretty ruthless about keeping work within work hours," says HubSpot Customer Support Specialist Jenna Lee. "As soon as I clock out, I set my Slack status to away, close my work tabs, and switch gears to focus on my personal life. It helps me show up refreshed the next day."

Prioritize You Time

Self-care isn‘t selfish – it‘s a critical part of sustainably doing your best work. Our reps recommend:

  • Getting moving. Regular exercise is a proven stress-buster. Hit the gym, go for a jog, or just take a quick walk around the block to clear your head.

  • Fueling up right. Nourish your body with plenty of whole foods, and don‘t forget to stay hydrated. A balanced diet can work wonders for your mood and energy levels.

  • Making time for joy. Engage in hobbies and activities that bring you genuine happiness and fulfillment, whether that‘s painting, playing music, or just catching up with friends.

"I make a point to do at least one thing each day that‘s just for me," says Customer Support Team Lead Maria Rodriguez. "Sometimes that‘s a yoga class, sometimes it‘s baking cookies with my kids. Investing in myself outside of work helps me show up as my best self on the job."

Hit Pause

Even the most dedicated service rep needs a break now and then. Pressing pause when you need it is key to maintaining your motivation and avoiding burnout.

  • Schedule mini-breaks. Step away from your desk for a few minutes every hour to stretch, hydrate, and reset. Even a short breather can help you return to your next task with fresh eyes.

  • Don‘t skimp on sleep. Prioritize getting 7-9 hours of quality shuteye each night. Sleep deprivation can exacerbate stress and make it harder to regulate your emotions on the job.

  • Use your PTO. Whether it‘s a two-week vacation or just a day to recharge, taking time off is essential for preventing burnout. Don‘t let those hard-earned days go to waste!

"I aim to take a real break every 90 minutes or so, even if it‘s just five minutes to stretch or grab a healthy snack," says Service Rep Taylor Patel. "It‘s amazing how much more focused and positive I feel when I give my brain that little bit of downtime throughout the day."

Practice Mindfulness

Mindfulness – the practice of anchoring yourself in the present moment – is a game-changer for high-stress roles like customer service. Some simple ways to work mindful moments into your day:

  • Take a few deep breaths before diving into a challenging conversation or task
  • Try a quick guided meditation on your break using an app like Headspace or Calm
  • Go for a mindful walk, paying attention to the sights, sounds, and sensations around you
  • Take a moment to jot down three things you‘re grateful for each day

"Mindfulness has been huge for me in managing stress and staying grounded," says HubSpot Customer Success Manager Ryan Kim. "Just pausing to take a few deep breaths before a tough call can completely change how I show up in that interaction."

Find Your People

Burnout can feel isolating, but you don‘t have to face it alone. Connecting with others who get it can provide much-needed support and validation.

  • Lean on your teammates. Vent to trusted coworkers who understand the unique challenges of your role, and be there to listen when they need an ear too.
  • Seek out mentorship. Connect with a more experienced colleague or supervisor who can offer guidance and perspective when things feel overwhelming.
  • Consider therapy. Working with a mental health professional can be incredibly helpful in developing coping strategies and maintaining healthy boundaries.

"Having a strong support system at work has made all the difference for me," says Service Rep Emily Chen. "Just knowing I have teammates I can turn to on tough days makes the load feel so much lighter."

Advocate for Change

While self-care is critical, real progress requires commitment from the top. At HubSpot, we‘re constantly striving to create a culture that truly prioritizes employee wellbeing.

Some initiatives we‘ve implemented:

  • Generous PTO. We offer ample vacation time and encourage our employees to actually use it. Managers lead by example in taking time off to recharge.

  • Flexible scheduling. We work with employees to find scheduling arrangements that fit their needs, whether that‘s an earlier start time, a compressed workweek, or remote work options.

  • Wellness perks. From fitness stipends to healthy snacks to mindfulness training, we invest in benefits that support our team‘s physical and mental health.

  • Open communication. We foster an environment where employees feel safe being transparent about their wellbeing and bringing burnout concerns to leadership without fear of retribution.

"I feel incredibly lucky to work for an organization that walks the walk when it comes to preventing burnout," says Customer Support Manager Lisa Gupta. "Leadership is always open to feedback and new ideas for how we can better support our team‘s mental health and work-life balance."

You‘ve Got This

Burnout may be pervasive in the customer service world, but it doesn‘t have to be inevitable. By being proactive about your mental health, setting clear boundaries, and advocating for a burnout-resistant work culture, you can build real resilience and rediscover joy in your role.

Remember: you deserve to feel valued, supported, and energized at work. Investing in your own wellbeing is one of the greatest gifts you can give not only to yourself, but to your customers and your company.

So take that vacation. Set that boundary. Have that honest conversation with your supervisor. Beating burnout is a process, but every small step counts. You‘ve got this – and we‘ve got your back.
